Purpose
-
Taxidermy is a specialised, custom, and time-sensitive service. Once trophies are delivered, immediate preservation work may be required to prevent spoilage and permanent deterioration. This policy explains how cancellations, refunds, and charges are handled in a fair and transparent manner.

Order confirmation and deposits
-
An order is confirmed once we receive written approval of a quotation and/or the required deposit.

Deposits reserve production capacity, labour, and materials, and allow work to commence.

Immediate processing of trophies (critical)
-
Upon receipt of trophies, immediate processing may be required to prevent odour, bacterial damage, spoilage, or permanent deterioration.
This may include, but is not limited to:

Cleaning and degreasing of skulls
-
Washing, salting, and hanging of wet skins
-
Skinning and preparation of whole animals
-
Handling, disposal, or return of meat as instructed by the client
These actions are essential preservation steps and are not optional once trophies are delivered to Trophex.

Liability for immediate work
-
If an order is cancelled after trophies have been delivered, the client remains liable for all work already performed, including labour, materials, preservation, preparation, and handling.

This applies even if the client chooses to collect and remove the trophies without proceeding with the full taxidermy process.

Cancellations before work starts
-
If an order is cancelled before any work has commenced, a refund of the deposit may be considered, less reasonable administrative costs and any non-refundable third-party expenses already incurred (e.g., special orders, documentation work).

Approved refunds are processed within a reasonable timeframe to the original payment method.

Cancellations after work starts
-
If an order is cancelled after work has started, deposits are generally non-refundable.

The client will be charged for:
-
All work has already been completed
-
All materials used or ordered
-
Any outsourced services, documentation, or preparation already undertaken
-

A reasonable cost breakdown can be provided upon request.

Collection without completion
-
Clients may choose to collect trophies without completing the full taxidermy process. In such cases, all preservation and preparation work already performed must be settled in full before the items are released.

Refunds and cooling-off
-
Due to the custom-made and perishable nature of taxidermy services, refunds are not offered for a change of mind once work has commenced.

Nothing in this policy limits any rights the client may have under applicable South African law.

Workmanship concerns
-
Any workmanship concerns attributable to Trophex must be reported in writing within 14 days of collection or delivery and must include photographic evidence.
-
Where appropriate, Trophex will first attempt repair or correction within a reasonable time.
-
Refunds are considered only where repair is not reasonably possible.
-
-
Collection, storage, and abandoned items
-
Finished work must be collected or dispatch arranged within 30 days after notification.
-
Storage fees may apply after this period.
-
Items left uncollected for 12 months and for which the client is unresponsive may be considered abandoned after reasonable notice, and Trophex may take lawful steps to recover costs or dispose of the items as permitted by law.

Shipping and third-party costs
-
Costs incurred for crating, shipping, insurance, permits, or third-party services are non-refundable.

Any refunds granted by third-party service providers will be passed on to the client after deduction of non-recoverable costs.
