1. Definitions
-
“Trophex/we/us”: Trophex CC t/a Trophex Taxidermy.
-
“Client / you”: the person or entity requesting services.
-
“Trophy/item (s)”: skins, capes, horns, skulls, mounts, raw materials, finished products, and all related items submitted to Trophex.

2. Quotes, acceptance, and instructions
-
Quotes are valid for 30 days unless stated otherwise.
-
A job is confirmed when we receive (a) a written acceptance of the quote and/or (b) the required deposit.
-
Any additional work requested after acceptance may require a revised quote and may affect lead times.

3. Deposits and payments
-
A 30% deposit is required to schedule the job and begin preparation and procurement.
-
Late payments may delay the release of items and may incur reasonable administration and collection costs.
-
The balance is payable before the finished work is collected, delivered, or dispatched.
-
VAT (South Africa): Trophex CC is VAT registered.
-
South African (non-export) orders: VAT at 15% will be charged on the invoice where applicable.
-
International export orders: Where trophies are exported and the transaction qualifies for zero-rating under South African VAT rules, VAT will not be charged on the invoice.
If an order does not qualify for zero-rating due to missing/incorrect export documentation or requirements, VAT may be charged until compliance is confirmed.

4. Lead times and scheduling

Lead times are estimates, not guaranteed completion dates. Taxidermy is a specialist, multi-stage process, and timelines vary with seasonality, drying/curing time, materials availability, and workload.

We will provide updates where practical, but completion dates may move.

5. Client responsibilities and conditions of trophies
-
The condition of a trophy on arrival strongly affects the final result. Proper field care, cooling/freezing, salting (where applicable), and timely delivery are essential.
-
Trophex is not responsible for quality issues caused by poor field preparation, delayed delivery, insect damage, decomposition, or pre-existing damage.
-
Where information is missing or unclear (species, measurements, reference photos, mounting instructions), delays may occur until we receive correct instructions.

6. Permits, compliance, and documentation
-
Where permits, veterinary documentation, CITES, export paperwork, or other compliance documents are required, the client (or their agent/outfitter) must provide accurate details and cooperate promptly.

Delays or additional costs arising from missing/incorrect documents are for the client’s account.

7. Collection, delivery, and shipping
-
If Trophex arranges packaging/crating and shipping, we will apply reasonable care and use reputable service providers where possible.
-
Shipping risk may depend on the carrier and the insurance selected. If insurance is optional, the client must confirm in writing whether insurance is required.
-
The client is responsible for providing the correct delivery address and contact details.

8. Cancellations, changes, and refunds
-
Once work has started (including preparation, materials ordered, processing, or administrative/permit work), cancellations may be subject to reasonable costs already incurred.

Deposits are generally non-refundable once the job is scheduled and work/preparation has begun, as time and materials are reserved.

9. Ownership, lien, and storage
-
The trophy remains the client’s property; however, Trophex retains a right of retention (lien) over all items until full payment is received.

If the finished work is not collected or dispatched within 30 days of notification, reasonable storage fees may apply.
-
If items are left uncollected for more than 12 months and the client is unresponsive, Trophex may take lawful steps to recover costs, including disposal where permitted by law, after reasonable notice.

10. Natural variation and expectations
-
Natural materials vary in colour, texture, hair patterns, and may show cracks or imperfections (especially in skulls/horn bases).
-
We aim for a high standard, but identical replication in every detail is not always possible due to the nature of the materials and the process.
​
11. Workmanship, quality control, and claims
-
If you believe there is a workmanship issue directly attributable to Trophex, you must notify us in writing within 14 days of collection/delivery and include photos.
-
Where appropriate, we will repair or correct the issue within a reasonable time.
-
This does not cover damage caused by humidity, direct sunlight/UV, pests, improper storage, mishandling, third-party alterations, or normal aging.

12. POPIA and privacy
-
We process personal information in accordance with applicable South African law, including POPIA, and as described in our Privacy Policy.
​
13. Photos and marketing
-
We may take photos/video of the work for quality control and marketing purposes, unless the client objects in writing before the work is completed.
​
14. Governing law and disputes
-
These terms are governed by the laws of South Africa.
-
The parties will attempt to resolve disputes in good faith before formal legal action.
